Please describe.ÌýY â€� Our Administrative Department processes any remaining equipment service and supply invoices in accordance with the individual equipment contracts as initially agreed upon between the customer and Xxxxxxxxx Reprographics. â€� Most administrative or special billing modification requests can be accommodated during the customer’s contract period. Our processes are flexible and can accommodate most special billing requests made by our client base, including P-cards or payments for invoices with multiple agreements. â€� Lease expiration, invoice termination, outstanding balances or fees, and equipment pick-up are traditionally addressed in the customer’s original lease documentation. â€� With regard to third party leases, we coordinate these processes by acting as a customer advocate throughout the end of lease process. We work to facilitate the lease upgrade with a seamless equipment replacement and lease contract billing transition. The focus at this time is on the end of lease or lease upgrade paperwork process between the customer and the leasing source, and providing a smooth equipment transition. â€� A timeline is provided that meets the customer’s needs. The process consists of notifying the customer within three to six months of the existing lease expiration to discuss their specific end of lease options. Once the customer determines the desired course of action, the HRI Account Representative takes the necessary steps to make sure that all contractual requirements are understood and performed with regard to the customer’s interest. These steps include verification in writing of all end of lease options, associated costs, deadlines for payment, and all required written notifications. â€� Once the end of lease options are decided upon, a timeline for the transition is developed between Xxxxxxxxx Reprographics and the end user or customer. Pick ups and deliveries are coordinated in a manner best suited to minimize any potential customer down time. When appropriate the equipment is picked up, made ready for shipment, and returned to the designated leasing company by Xxxxxxxxx Reprographics.
